How much should you spend on a computer or laptop for your business?


General Office Users

General office computers are used for typical tasks like Word, Excel, PowerPoint, email (Outlook or web-based), and line-of-business applications like QuickBooks or Sage. These users often have many internet tabs open for research, vendor communication, etc.

About 80% of the workforce falls into this category. For these users, budget $500 per year for a computer. This means if you expect to keep the computer in production and under warranty for 3 years, you should spend around $1,500 total.

Most business computers from Dell, HP, Lenovo come with a 3-year next business day warranty. This budget includes the operating system and may support up to three monitors.

For laptops, budget $800 per year, totaling $2,400 over 3 years. This assumes coverage under the manufacturer’s accidental damage and protection warranty. You can upgrade from depot/mail-in warranties to onsite next business day support for an additional $200–$300.


Power Users

Power users include business owners, VIPs, CFOs, analysts—anyone who can't tolerate delays or spinning wheels. These users require more system resources.

Budget:

  • $700/year for desktops → $2,100 over 3 years
  • $950/year for laptops → $2,850 over 3 years

Warranty duration affects pricing, so plan accordingly.


Super Power Users

These users need high-performance machines for tasks like 3D CAD rendering, 4K video editing, and SolidWorks. These systems require a GPU (Graphics Processing Unit) in addition to a CPU.

Budget:

  • $900/year for desktops → $2,700 over 3 years (just the tower)
  • $1,050/year for laptops → $3,150 over 3 years

Industries like architecture and surveying are familiar with these costs.
